How to choose

  • Start with the steps your clients see. If clients sign proposals, pay invoices or book calls, pick a tool that handles those steps, not just a contact list.
  • Read the plan table, not the headline price. Contracts, scheduling, automations and client portals often start on a higher plan than the cheapest one.
  • Check how it is priced. Some tools charge per user and others per account. A per-user price grows as soon as a second person joins.
  • Decide if you need a client portal. A portal gives clients one place for files, approvals and invoices. Some tools include it on every plan, others only on higher plans.
  • Look at where you talk to clients. If most conversations happen on WhatsApp or email, check whether the tool keeps those messages on the client record.
  • Try it with real work. Every tool here has a free plan or a free trial. Move three real clients in and run a week of work before you decide.
