How to add your email signature
Copy the signature above, then follow the steps for your email app.
Gmail
- Open Gmail on a computer, click the gear icon, then See all settings.
- On the General tab, scroll to Signature and click Create new.
- Give it a name, then paste into the box (Ctrl+V or Cmd+V).
- Under Signature defaults, choose it for new emails and replies.
- Scroll to the bottom and click Save Changes.
Outlook on the web and new Outlook
- Open Settings, then Account, then Signatures.
- Click New signature and give it a name.
- Paste into the box.
- Pick it as the default for new messages and replies, then click Save.
Outlook for Windows (classic)
- Go to File, Options, Mail, then Signatures.
- Click New, name it, and paste into the edit box.
- Set it under New messages and Replies/forwards.
- Click OK. Round photos show as squares here, which is normal.
Apple Mail
- Open Mail, then Mail menu, Settings, Signatures.
- Pick your account and click the + button.
- Untick "Always match my default message font", or Mail strips the styling.
- Paste into the right-hand box and close the window.

- Under Email defaults, set Email signature to HTML.
- Click Copy HTML here, then paste it into the box.
- Click Save email defaults. Your team can add their own under My email settings.
How to use this free email signature generator
Fill in your details on the left and the signature builds itself on the right as you type. Pick one of six layouts, choose your brand colour and a font, then press Copy signature and paste it into your email app. That's it. There's no account to create and no link back to us hidden in your signature.
Every signature is made the way email apps like it: simple tables with the styling written into each line, images loaded from a web address, and no fonts or code that an inbox might block. That's why it looks the same in Gmail, Outlook and Apple Mail, and why the text still makes sense when someone's email app hides images.
What to put in an email signature
A good email signature answers one question for the reader: who is this, and how do I get back to them? Keep it to what helps with that.
- Your name and job title. Your full name, then what you do. "Founder" or "Lead designer" tells a new client who they're dealing with.
- Your business name. Written the way customers search for it, so they can find you later.
- One or two ways to reach you. A phone number people can tap on a phone, and your website. Your email address is optional, since they already have it, but it helps when an email is forwarded.
- A logo or a photo, not both, unless they're small. A photo builds trust for coaches, consultants and freelancers. A logo suits a studio, shop or clinic.
- Social links you actually use. Two or three is plenty. A link to a profile you haven't updated in a year does more harm than good.
- One call to action, if any. "Book a call" or "See our prices" with a link. One button is helpful. Three is a billboard.
Email signature examples by business type
A few set-ups that work well for small service businesses:
- Freelancer or consultant: the Photo left layout, your name and title, phone, website and LinkedIn, with a "Book a call" button linked to your booking page.
- Salon, clinic or local service: the Logo left layout, the business phone, the address with the area people know, Instagram, and a "Book online" button.
- Agency or studio: the Classic or Colour bar layout, the studio logo, each person's name and title, the website and one social link, the same for everyone on the team.
- Anyone who emails from a phone a lot: the Compact layout. It's short, reads well on a small screen and doesn't push the message off the top.
Common email signature mistakes
- Using an image for the whole signature. It looks tidy, but it's often hidden, can't be clicked or copied, and screen readers can't read it. Keep your details as text.
- Linking to an image on your computer. It shows for you and breaks for everyone else. Always use an image address that starts with https://.
- Too many colours and fonts. One brand colour and one email-safe font look more professional than a rainbow.
- Huge logos. A logo wider than about 150 pixels takes over short replies. Keep it modest.
- Quotes, long legal text and old awards. If a line doesn't help the reader reply, book or trust you, cut it. Keep small print to one line where you need it for legal reasons.
- Different signatures across the team. Make one here, then change the name and title for each person so every email looks like it came from the same business.
Do email signatures work on phones?
Yes. Your signature appears on emails you send from a computer, and most phone apps show it properly when people read your email. Sending from a phone is different: the Gmail and Outlook phone apps use their own plain signature, so set a short text version there (your name, business and phone number), or send important emails from your computer.

Is this email signature generator really free?
Yes. You can make as many signatures as you like, for yourself or your whole team, and there is no watermark or link back to us in the signature.
Why does my logo not show up after I paste the signature?
Email signatures show images from a web address, not from your computer. Upload your logo to your website, a file host or your social profile, copy the image address that ends in .png or .jpg, and paste it into the logo box.
Will it work in Gmail, Outlook and Apple Mail?
Yes. The signature is built from simple tables with the styles written inline, which is what those apps handle best. Outlook on Windows shows round photos as squares, and some apps hide images until the reader allows them, so the text works on its own too.
Can I edit the signature after I have pasted it?
Yes, you can change the text inside your email app. For bigger changes, such as the layout or colour, it is quicker to come back here, change it and paste it again.
Do you store my details?
No. The signature is built in your browser and nothing you type is sent to us. If you pick a logo from your device, it only shows in the preview here.
What size should my logo be?
Upload it at about twice the size it shows at, so it stays sharp on high-resolution screens, and keep the file small (under 100 KB). The generator shows the logo about 120 pixels wide and the photo at 80 pixels.
