Follow-up: Definition, Examples and How It Works
A follow-up is any contact you make after a first conversation to move it to the next step, such as a check-in after a quote or a reminder before an invoice is due. So what is follow-up in practice? It's the step that turns "they asked" into "they bought".
Key takeaways
- A follow-up always has a reason and a next step. “Just checking in” with nothing to offer is the weakest kind.
- Most small businesses lose more work to slow or missing follow-ups than to lost pitches.
- Two or three polite follow-ups are normal; after that, close the loop and stop.
- Marketing follow-ups by email have rules, such as an opt-out in every message.
Why follow-up matters for a small business
Enquiries arrive while you’re busy doing the work. A client messages on WhatsApp during a job, a form comes in at night, a prospect says “send me a quote” on a call. If nobody writes down the next step, the conversation goes quiet, and the client books whoever answered first.
For an IT services firm, the gap is often after the proposal. The client is interested, the decision sits with someone else, and two weeks pass. A short, useful follow-up keeps you in the room without being pushy.
What is follow-up, and how does it work?
Every good follow-up has four parts:
- A trigger. Something happened: an enquiry, a quote sent, a meeting held, an invoice due, a job finished.
- A due date. Decide when you’ll follow up at the moment the trigger happens, not later.
- A reason. New information, an answer to their question, a deadline or a simple yes-or-no question.
- A next step. Book a call, approve the quote, pay the invoice, leave a review.
| Moment | Follow-up | Typical timing |
|---|---|---|
| New enquiry | Answer the question and offer a time to talk | Same day, ideally within an hour |
| Quote or proposal sent | Check it arrived and ask if anything is unclear | 2 days later, then about a week later |
| Meeting held | Send notes and agreed actions | Same day |
| Invoice due | A friendly reminder with the payment link | A few days before, then on the due date |
| Job finished | Thank them, ask for feedback or a review | Within a day or two |
| Quiet client | Share something useful or a seasonal offer | Every few months |

A follow-up example with numbers
Take an IT support firm in Nairobi that sends 20 proposals a month for managed IT contracts worth KES 60,000 a month each. These figures are illustrative.
- Without a follow-up routine, 3 of the 20 are signed. That’s KES 180,000 of new monthly contracts.
- With two follow-ups on every proposal (one after 2 days, one after a week), say 5 of the 20 are signed. That’s KES 300,000.
Two extra contracts add KES 120,000 a month. Over a year, that’s KES 1,440,000 from messages that take a few minutes each. Your own numbers will differ, but the sum shows why the follow-up step is worth a fixed slot in your week.
The rules for follow-up messages
A reply to someone who asked you a question is service, not marketing. Follow-ups that promote your services are marketing, and the rules depend on the channel and the country:
- US: the FTC’s CAN-SPAM compliance guide (checked on 1 October 2026) says the law has no exception for business-to-business email. Commercial emails need a valid postal address and an opt-out you honour within 10 business days.
- UK: the ICO’s guidance on electronic mail marketing (checked on 1 October 2026) says you can email companies without consent, but individuals and sole traders need consent or the “soft opt-in” (they bought or asked about something similar and were given a chance to opt out).
- WhatsApp: businesses can reply freely for 24 hours after the customer’s last message. After that, Meta requires an approved message template.
Follow-up vs follow-up automation vs nurturing
These terms overlap, so it helps to separate them:
- Follow-up is the single next contact after an interaction.
- Follow-up automation sets those contacts to go out on their own after a trigger, such as a form being filled in.
- Lead nurturing is a longer series of helpful messages for people who aren’t ready to buy yet.
A lead usually needs quick, personal follow-ups first, then nurturing if the timing isn’t right.
How startbuddi handles follow-up
In startbuddi, a follow-up lives on the customer’s record in Customers, so the whole team can see it.
- Activities: add a “Note / Follow-up” activity with a title such as “Follow up on quote”, a contact, an owner and a due date. Overdue ones stand out.
- Automations: rules such as “Create follow-up task when a lead is added” or a reminder when a deal moves to Proposal Sent (Starter and above).
- Chip: Chip, the AI assistant, can draft a follow-up sequence from a contact’s real history for you to edit. On Growth and above, “Follow-ups on autopilot” lets Chip send due follow-ups by WhatsApp while the 24-hour window is open, otherwise by email, and it stops after two.
- Bookings: a follow-up email can go out after a no-show or a completed booking.

FAQ
What does follow-up mean in business?
In business, a follow-up is a contact made after an earlier conversation to move things forward, such as checking on a quote, sending meeting notes or reminding a client about an invoice. It always has a reason and a clear next step. Good follow-ups are timely, short and useful to the other person.
How soon should you follow up after a quote?
A common rhythm is a short check two days after sending the quote, then another about a week later, and a final message before the quote expires. Each one should add something, such as an answer or a simpler option. If there's still no reply, close the loop politely and move on.
How many times should you follow up?
Two or three follow-ups is usually enough for a single quote or enquiry. Space them out and make each one useful rather than repeating "any update?". After the last one, tell the person you'll stop for now and how to reach you.
Is a follow-up email legal without consent?
Replying to someone who contacted you is generally fine. Follow-ups that promote your services count as marketing, so rules such as an opt-out in every email (US) or consent for individuals (UK) apply. Check the rules where your recipients live.
What is the difference between a follow-up and a reminder?
A reminder points to something already agreed, such as an appointment or a due invoice. A follow-up moves an open conversation forward, such as a quote with no reply yet. Both work best when they're scheduled at the moment the trigger happens.
