Property Management Startup Checklist: Step-by-Step List + Free Template

A property management startup checklist: choose your model, register and get licensed, set up client money, contracts, maintenance and first landlords.

A property management startup checklist covers seven stages: choose your model and market, register the business and get any licence your area requires, set up insurance and a separate client account, prepare your contracts, build a maintenance and inspection system, set up your software, and win your first landlords. Tick them off in that order and you can take on your first property safely.

Key takeaways

  • Decide what you manage (long lets, short lets, blocks, commercial) and how you’re paid before you register anything. It shapes the licence, insurance and contracts you need.
  • Property management is regulated in many places. Lagos requires registration with LASRERA, and England requires letting agents and property managers to join a redress scheme.
  • Keep landlords’ and tenants’ money out of your business account from day one.
  • Your landlord management agreement is your most important document. Write it before you look for clients.
  • A reliable maintenance process wins more landlords than a low fee.

Why a property management startup needs a checklist

Property management looks simple from outside: find tenants, collect rent, fix things. In practice you’re holding other people’s money, entering their properties and making promises on their behalf. Miss one step at the start (no client account, no written agreement, no insurance) and the first dispute can cost more than a year of fees.

This checklist is written for someone starting a small property management business, whether you’re an estate agent adding management, a landlord who now manages for friends, or a facilities person going independent. If you’re new to running any service business, our guide to starting a service business covers the basics this list assumes.

Worked example: how many units do you need?

The numbers below are illustrative. Replace them with your own rents, fees and costs.

Lagos (annual rent)Manchester (monthly rent)
Units managed20 flats15 flats
Average rent₦1,200,000 a year£1,100 a month
Management fee10% of rent collected10% of rent collected
Fee income₦2,400,000 a year (₦200,000 a month)£1,650 a month
Monthly costs (transport, phone, software, insurance)₦150,000£900
Left before your own pay₦50,000 a month£750 a month

Twenty units in Lagos covers costs but doesn’t pay you a salary, so you’d add letting fees, renewals or more units. The lesson in both cities is the same: management fees alone rarely support a full-time owner below a few dozen units, so price your letting and renewal services properly from the start.

How to use this property management startup checklist

Work through the list in order, because later stages depend on earlier ones. Your fee model (stage 1) decides what goes in your management agreement (stage 4). Your licence and insurance (stages 2 and 3) should be in place before you sign the first landlord.

In Nigeria, rent is often paid yearly in advance and landlords may live abroad, so landlords want clear statements, photos and fast replies on WhatsApp. In the UK and North America, monthly rent, deposit rules and safety certificates make the money and compliance stages heavier. Adjust the timing, not the stages.

Common mistakes when starting a property management business

  • Mixing client money with your own. It’s the fastest way to lose a landlord’s trust, and in some places it’s an offence.
  • No spending limit in the agreement. Without one, every repair becomes a debate about who approved it.
  • Taking on properties far apart. Two inspections across Lagos traffic can take a whole day.
  • Relying on one contractor. When your only plumber is busy, the tenant waits and the landlord blames you.
  • No written inspection record. If you can’t show the condition at check-in, you can’t fairly claim against the deposit.
  • Underpricing to win the first landlords. It’s hard to raise fees later.

How to do this property management checklist in startbuddi

startbuddi isn’t property management or trust accounting software: it doesn’t keep a client-money ledger or produce landlord accounts. It runs the client side of the business around those: contacts, messages, viewings, contracts, invoices and tasks.

  1. Keep landlords, tenants and contractors in Customers. Each contact has a full history of messages, bookings, documents and invoices. Use companies for landlords who own through a business.
  2. List properties and take viewing requests. In Publish, start a business page from the Property Listings template, or use the Property Inquiry form template in Forms. Enquiries land in your contact list. Add a viewing as a booking service so people pick a time themselves.
  3. Send agreements for signature. Upload your management and tenancy agreements to Documents and send them for e-signature.
  4. Bill rent on a schedule. In Money Manager, set up recurring billing on an invoice and a draft is created on each due date; tenants pay by card through Stripe, or by card, bank transfer, USSD or mobile money through Paystack. Read more about recurring invoicing.
  5. Repeat inspections as tasks. In Work, add an inspection task for each property with subtasks from section 5, and set it to repeat.
  6. Give landlords a client portal. A client portal gives each landlord a private page for their projects, approvals and invoices.

Frequently asked questions

What do I need to start a property management company?

You need a registered business, any licence or registration your area requires, professional indemnity and public liability insurance, a separate client account, a landlord management agreement and a list of reliable contractors. Software to track properties, tenants, rent and maintenance helps from the first property.

Do I need a licence to be a property manager?

It depends on where you work. In Lagos, real estate practitioners register with LASRERA. In England and Wales, letting agents and property managers must join a redress scheme, and those holding client money need client money protection. In the US, many states require a real estate licence to manage property for others, so check with your state's real estate commission.

How much should a property management startup charge?

Many managers charge a percentage of the rent collected, plus separate fees for finding tenants and renewing leases. Check what local competitors charge, then work out how many units you need at that rate to cover your costs and pay yourself. Don't price below your costs to win the first landlords.

How many properties do I need to make a living from property management?

It depends on your rents, fee rate and costs. In our illustrative example, 20 Lagos flats at a 10% fee left ₦50,000 a month after costs, which isn't a salary. Most new managers add letting and renewal fees, or grow to several dozen units, before management alone pays them.

Can I manage properties part-time?

Yes, if you have reliable contractors and a clear emergency process. The hard part is responding to urgent repairs during your other job, so agree response times you can actually keep and put them in writing for landlords and tenants.
