Auto-reply: Definition, Examples and How It Works

Definition

An auto-reply is a message sent automatically in response to an incoming email, chat or text, without anyone writing it at the time. What is auto-reply used for in a business? Mostly to confirm a message arrived, say when a person will respond and point the customer to help in the meantime.

Key takeaways

  • An auto-reply is triggered by an incoming message, unlike a scheduled email or a campaign.
  • Common types: out-of-office replies, away messages outside business hours, “we got your request” confirmations and greeting messages.
  • A good auto-reply sets an honest expectation (“by 10 am tomorrow”) and gives one useful next step.
  • Fixed auto-replies say the same thing to everyone. AI auto-replies, like a chatbot, answer the actual question.
  • Auto-replies need limits, or two automatic systems can reply to each other in a loop.

Why auto-replies matter for a small business

Customers don’t know you’re on site, in a meeting or asleep. When a message gets no answer, they assume nobody’s there. A small IT support firm in Nairobi might get support emails at 11 pm and WhatsApp messages on Sunday. An auto-reply doesn’t fix the problem, but it tells the client their message landed, when to expect help and what to do if it’s urgent. That’s often enough to stop them ringing a competitor.

What is auto-reply and how does it work?

  1. A trigger. A new message arrives on a channel where the auto-reply is switched on.
  2. Conditions. The system checks rules: the time (outside business hours?), the sender (a new contact?), how recently that person already got an auto-reply.
  3. The reply. If the rules match, it sends your saved message, or, with an AI auto-reply, writes an answer from information you’ve approved.
  4. The handover. The original message stays in your inbox for a person to deal with.

The rules differ by tool. Gmail’s vacation responder (checked on 1 October 2026) usually replies to each sender once, sending again only if the same person writes after four days, and skips spam and mailing lists. The WhatsApp Business app’s away message (checked on 1 October 2026) can be sent always, on a custom schedule or outside business hours, and can be limited to certain recipients.

Email, outside business hours

Thanks for your email. Our team is offline until 8 am (Lagos time) and we’ll reply by 10 am. If a system you rely on is down, call our on-call line on [number]. Many answers are already on our help page: [link].

WhatsApp away message

Hi, thanks for messaging Kora IT. We’re closed right now and will reply from 8 am. For an urgent outage, reply URGENT and our on-call engineer will be alerted.

Only promise what’s real: the “reply URGENT” line only works if something actually alerts your engineer.

An example with numbers

These figures are illustrative. The Nairobi firm gets 90 messages a month outside office hours across email and WhatsApp.

No auto-replyFixed auto-replyAI auto-reply with handover
Messages out of hours909090
Told when help will come09090
Question answered before morning0040 (hours, prices, how-to questions)
Left for the team next morning909050

The fixed reply manages expectations. The AI reply also clears the simple questions, so the team starts the day with 50 messages instead of 90.

Mistakes to avoid

  • Vague timings. “We’ll get back to you soon” helps nobody. Give a time.
  • Replying to automated mail. The email standard for automatic responses, RFC 3834 (checked on 1 October 2026), says responders shouldn’t reply to messages marked as automatic and recommends not sending the same response to the same sender more than once in a 7-day period by default. Most email tools handle this, but custom automations may not.
  • Forgetting to switch it off. An “I’m on leave” reply three weeks after you’re back looks careless.
  • Sales copy in a service reply. A support confirmation stuffed with offers annoys people at the moment they need help.

For phone calls, the equivalent is voicemail or an answering service. Our guide to customer service for small business covers response times across channels.

  • Chatbot: software that holds a conversation, rather than sending one fixed message.
  • Answering service: the phone-call version of covering out-of-hours enquiries.
  • Follow-up automation: messages sent later in a sequence, not as an instant reply.

How startbuddi handles auto-replies

In startbuddi, website chat has welcome and away messages tied to your business hours, set up in the website chat settings. For AI replies, the Inbox lets you switch Chip on channel by channel and choose when it answers: straight away, when nobody on the team replies within a set time, or outside business hours. Chip answers from the information you’ve approved, can tell customers it’s an AI, steps back for a while when a teammate replies, and hands the conversation over when a customer asks for a person. Chip auto-reply is on paid plans and uses Chip credits.

FAQ

What is the difference between an auto-reply and an autoresponder?

They mean the same thing in everyday use: a message sent automatically when one arrives. In email marketing, "autoresponder" sometimes also means a series of scheduled emails, which is closer to a follow-up sequence.

Should a small business use auto-replies?

Yes, on any channel where customers expect a fast answer and you can't always reply quickly. Keep it short, give a real time for a response and add one useful link or option. Switch it off when it no longer applies.

Can an auto-reply answer customer questions?

A fixed auto-reply can't; it sends the same message to everyone. An AI auto-reply can answer simple questions from information you approve, such as hours or prices, and should hand anything else to a person.

How do I stop auto-replies looping?

Use tools that follow the email rules for automatic responses: they skip messages marked as automatic and limit replies to the same sender. Don't build custom automations that reply to every incoming email without those checks.

Is an away message the same as an out-of-office reply?

They're close. An out-of-office reply usually covers a one-off absence such as a holiday. An away message usually runs on a schedule, for example every evening and weekend outside business hours.
