What’s the difference between Setmore and Calendly?
Setmore thinks in services and staff. You list what you sell, say who does it and how long it takes, and clients pick a service, a person and a time. It has a team calendar, customer profiles, appointment history and point-of-sale style payments, including Tap to Pay. That’s the shape of a salon, a clinic, a driving school or a garage.
Calendly thinks in event types and hosts. You create a “30-minute discovery call”, connect your calendars, and invitees pick a time that doesn’t clash with anything else. On Teams, it can screen people with a form, then route them to the right person. That’s the shape of a consultancy, an agency, a recruiter or a sales team.
Both can do the other’s job at a push. A consultant can use Setmore; a hairdresser can use Calendly. But each tool gets awkward when you push it the other way: Calendly has no staff day view or till, and Setmore’s free plan only checks your calendar one way.
Verdict: decide what you’re booking first. Services with staff point to Setmore; meetings with people point to Calendly.
Free plans compared
This is where the two differ most.
Setmore Free is a working product for a small team: up to 4 users, unlimited appointments, a team booking page, class and service links, online and in-person payments, email confirmations, one email reminder, iOS and Android apps, and a Book Now button for Instagram, Facebook and Google. What it leaves out: deposits, SMS reminders, two-way calendar sync, recurring appointments, video appointments and removing Setmore branding.
Calendly Free is a taster for one person: one event type, one connected calendar, unlimited one-on-one meetings, a customisable booking page and the browser extension. It leaves out reminders, payments, multiple event types, group events, cancellation policies and integrations such as HubSpot or Zapier.
Verdict: Setmore. A small business can run day to day on Setmore Free; on Calendly Free you’ll be paying within a week if you need more than one meeting type.
Pricing for a team
Setmore charges per user, and its FAQ says each staff calendar counts as a user. Calendly charges per seat, for anyone who connects a calendar and hosts meetings; invitees don’t need one.
Here’s an illustrative monthly cost for three people who all need reminders and payments, at list prices billed yearly:
| Monthly cost | What it adds | |
|---|---|---|
| Setmore Pro | 3 × $5 = $15 | Deposits, SMS (500 credits per user), two-way sync |
| Calendly Standard | 3 × $10 = $30 | Reminders, payments, unlimited event types |
| Calendly Teams | 3 × $16 = $48 | Adds round robin and routing |
Billed monthly, the same three people pay $36 on Setmore Pro, $36 on Calendly Standard and $60 on Calendly Teams. Card processing is charged separately by Stripe, Square or PayPal on every option.
Verdict: Setmore is cheaper per person on yearly billing. On monthly billing the entry plans cost the same, and Calendly Teams is the most expensive.
Reminders and no-shows
Setmore Free sends one email reminder. Pro sends two, adds SMS with 500 credits a month per team member, and lets you take deposits. Setmore’s page notes SMS availability “varies by country”.
Calendly has no automated reminders on Free. From Standard you can automate reminders and follow-ups, and set a meeting cancellation policy. Payments through Stripe or PayPal also start on Standard.
Verdict: for a business where a missed appointment costs real money, Setmore Pro is the stronger kit, because a deposit does more than a reminder. Our guide on how to reduce no-show appointments explains why.
Team scheduling and routing
Setmore gives every staff member their own login, calendar, working hours and booking page, with a team booking page on top, from the free plan. Clients can pick the person.
Calendly’s Teams plan adds round robin distribution, collective events, centrally managed event types and routing forms that send a lead to the right rep based on their answers. It connects to Salesforce on Teams and to HubSpot from Standard.
Verdict: Setmore for a shop floor where clients choose a stylist. Calendly for a sales or advice team where the business decides who takes the call.
Integrations and video calls
Calendly connects Google, Outlook and Office 365 calendars, adds Zoom, Google Meet or Microsoft Teams links automatically, and from Standard connects HubSpot, Mailchimp and Zapier, with webhooks. Its pricing page also lists contact profiles, a meeting recap add-on and an AI scheduling assistant on Plus plans.
Setmore integrates with Square, Stripe, PayPal, Google Analytics, Mailchimp, HubSpot and Zapier on both plans, and offers Reserve with Google and Facebook and Instagram Book Now buttons. Video appointments need Pro.
Verdict: Calendly for anyone whose bookings feed a CRM or a sales process. Setmore for anyone who wants clients to book straight from Google or Instagram.
Booking page and branding
Both give you a hosted booking page with your logo and colours on the free plan. The differences are in the details.
Setmore’s page is a shop window: it lists your services, staff and classes, can show Google reviews, and clients can add it to their phone’s home screen like an app. It comes with a custom QR code and a Book Now button for your website on Wix, Weebly or WordPress. Removing the “Powered by Setmore” mention needs Pro.
Calendly’s page is a list of meeting types, one per link, and you’d usually share a single link in an email signature or a proposal. Custom confirmation pages with redirects, embed colour controls and removing Calendly branding all need a paid plan.
Verdict: Setmore’s page works better as the front door of a business. Calendly’s works better as a link inside a conversation.
Setting each one up
Getting started takes an afternoon either way, but the steps are different, and that tells you a lot about fit.
Setmore setup
- Add your services, each with a length and price.
- Add staff and their working hours and holidays.
- Connect Square, Stripe or PayPal if you want to take payments.
- Share the booking page, or add the Book Now buttons to Instagram, Facebook and Google.
Calendly setup
- Connect your calendar so Calendly can check for conflicts.
- Create an event type, such as a 30-minute call, with its location or video link.
- Set your availability rules, buffers and notice period.
- Share the link, or embed it on your website.
If your setup list starts with “services and staff”, you’re a Setmore-shaped business. If it starts with “my calendar and a call”, you’re a Calendly-shaped one.
Three examples
These are illustrative, to show how the choice plays out.
- A braiding salon in Lagos with three stylists. Clients choose a style and a stylist, and long appointments make no-shows expensive. Setmore fits the shape, though deposits need Pro and clients would pay by card through Square, Stripe or PayPal rather than by bank transfer.
- A bookkeeper in London who takes discovery calls. One meeting type, a video link, and the call feeds her CRM. Calendly Free covers a single call type; Standard adds reminders and a HubSpot connection.
- A tutoring centre in Toronto with four tutors. Parents pick a subject and a tutor, and sessions repeat weekly. Setmore Free handles four tutors; recurring appointments need Pro.
Is Calendly worth it?
Calendly is worth paying for if meetings are your pipeline: a coach booking discovery calls, an agency booking pitches, a recruiter booking interviews. Standard at $10 a seat billed yearly buys unlimited event types, reminders and payments, and Teams adds routing that saves real admin for a sales team. It’s less worth it for a business selling services by the hour with several staff, because you’d be paying for meeting tools while still missing a staff day view and in-person payments.
Choose Setmore if…
- Clients book services with a named staff member.
- You want to run a team of up to four on a free plan.
- You take payments in person as well as online.
- You want deposits and SMS reminders for $5 a user billed yearly.
- You need a signed BAA for a health practice.
Choose Calendly if…
- You book meetings and calls, often by video.
- You need routing forms or round robin for a sales team.
- Your bookings must sync with HubSpot or Salesforce.
- You want conflict checks across several calendars.
- You’re a single person with one meeting type, so Free is enough.
A third option: startbuddi
If your clients book services and pay deposits by bank transfer, USSD or mobile money, neither tool fits perfectly: Setmore and Calendly take payments through Square, Stripe or PayPal. startbuddi Bookings takes the full price or a deposit through Paystack (card, transfer, USSD or mobile money) or Stripe before a booking is confirmed, and every booking lands on the client’s record next to their WhatsApp messages and invoices. It has a free plan with one live service; see pricing. Its limits: calendar sync pushes bookings to Google Calendar without reading your busy times, there are no recurring bookings, and managing the calendar is done on a computer or tablet. Frequently asked questions
Is Setmore or Calendly better for a small business?
Setmore is better for a small business that sells services delivered by staff, because its free plan covers up to four users with staff calendars and payments. Calendly is better for a business that books meetings and calls, especially with a sales process behind them.
Is Setmore free?
Yes. Setmore Free covers up to 4 users with unlimited appointments, online and in-person payments and one email reminder. Deposits, SMS reminders and two-way calendar sync need Pro, at $5 a user a month billed yearly or $12 monthly.
Is Calendly worth paying for?
Yes, if meetings drive your revenue. Standard, at $10 a seat a month billed yearly ($12 monthly), adds unlimited event types, reminders and payments. If you sell services with staff, a service-booking tool usually gives more for less.
How does Calendly compare with Microsoft Bookings?
Microsoft Bookings isn't sold on its own: it's included in Microsoft 365 plans such as Business Basic, Business Standard and Business Premium, according to Microsoft's Bookings overview. If your team already pays for one of those, Bookings costs nothing extra. Calendly has a free plan and is the more flexible choice if you don't use Microsoft 365.
Is Calendly or Square Appointments better?
Square Appointments is better for salons and other businesses that take card payments in person, and its free plan includes deposits and reminders in the eight countries Square serves. Calendly is better for booking meetings and calls, with routing and CRM integrations.
Can I use Setmore and Calendly together?
You can, but most small businesses don't need to. Running both means two booking links and two sets of settings, and conflicts are only avoided if both tools check the same calendars, which Setmore Free doesn't do for outside events.
