How it works
Use an ordinary week. Leave out holidays or your busiest season.
Missed bookings divided by all bookings, over a month or two.
The calculator multiplies it out over the weeks you work in a year.
The maths
missed a year = appointments per week × weeks worked × no-show rate
cost a year = missed a year × average price
Halving your no-shows recovers half of that cost. It assumes each missed slot could have been paid for, so treat it as the upper end of what you lose.
Questions
How do I work out my no-show rate?
Count the bookings where the client did not turn up and did not tell you, over the last month or two. Divide by the total number of bookings in the same period and multiply by 100.
Should late cancellations count as no-shows?
Count them if you could not fill the slot. A cancellation an hour before usually costs you the same as a no-show.
Why does it show what halving no-shows would recover?
Getting to zero is rare. Halving them is a realistic first goal, and it shows what reminders, deposits and a clear policy are worth to you.
