Paycape built a payments consultancy on a fully automated back office

A fintech consultancy reduced invoice payment time from 22 days to 6 and lifted retainer renewal rates from 58 percent to 84 percent.

Result 1 Invoice payment time dropped from 22 days to 6 days
Result 2 Retainer renewal rate improved from 58 percent to 84 percent
Result 3 11 hours saved each month on billing admin
Result 4 Scaled from 2 consultants to 5 without extra admin load

The challenge

Manual billing and contract renewals were slowing down a consultancy built around payment expertise.

The solution

Recurring invoicing, renewal campaigns, and milestone tracking all moved into one operating system.

The challenge

Paycape helps African businesses navigate payment infrastructure, but its own billing and renewal workflow was messy. Retainer invoices were going out late. Multi-currency billing across UK and Nigerian clients lived in spreadsheets. Consultant time was disappearing into admin instead of delivery.

Co-founder Adaeze Nwosu summed it up simply: the firm looked less polished than the service it delivered.

The solution

Paycape adopted startbuddi to standardize recurring invoices and contract renewals. Monthly retainers now run through a consistent workflow with GBP and NGN billing handled from the same client workspace. Renewal nudges and strategy-call booking links are triggered automatically as contracts approach their end date.

The team also uses the CRM to track milestone progress so commercial follow-up no longer depends on memory.

The result

Average invoice payment time dropped from 22 days to 6 days. Retainer renewal rates increased from 58 percent to 84 percent within two quarters. The team also recovered 11 working hours every month that had previously been lost to manual billing.

Paycape then expanded from two consultants to five without adding more operational overhead for leadership.
